First of all, the button for reporting phishing emails and spam has changed. This button is now called 'Report Message’ in the English version and ‘Bericht rapporteren’ in the Dutch version. The function is the same. The button is visible only in Outlook and not in any other email applications that you may be using.
Notification on receipt of first email from external sender
What you may have noticed is the notification that appears when you receive an email from an external sender for the first time. This indicates to you that the email has come from a source outside the organisation. It may be from an unknown sender, in which case you should be extra careful. If you email each other frequently, the notification will disappear for this sender.
Blocking senders and quarantine overview
You may already have received a message that an email has been quarantined and is being held back until you take action. You can block the sender manually, which will prevent emails from this sender being delivered to your mailbox. These blocked emails are not deleted; they are held in quarantine. This means that you will still see the blocked sender in the overview of intercepted emails even after blocking. This reduces the risk of losing important correspondence and always gives you the option of releasing blocked emails if necessary.
Managing safe and blocked senders in Outlook
If you use Outlook, you have the option of managing the safe and blocked senders in the application and the web version. You will find overviews of safe senders and recipients and blocked senders via the ‘Junk Email Options’ function in the English version, and ‘Opties voor ongewenste e-mail’ in the Dutch version. You can easily add, edit or delete senders and recipients here.
Science mailbox exception
In your @ru.nl mailbox, you can view intercepted emails and release them after assessing them yourself. Staff and students with a science mailbox cannot view or release intercepted emails themselves. Please contact the Faculty of Science (FNWI) helpdesk for this.
