Review of summer closure and preview of Christmas closure 2025

Last summer, the first summer closure took place. The aim was to gain insight into how temporarily closing buildings can contribute to more efficient use of facilities and energy, while maintaining good working conditions for everyone. The evaluation yielded concrete results, insights and lessons learned for the future.

Results

The pilot was received positively overall. Responses from 907 respondents and discussions with 40 stakeholders showed that the objective and communication were clear. Colleagues felt welcome at Berchmanianum and the Maria Montessori building and indicated that the support and facilities were sufficient to enable them to work effectively during this period.

In addition, the summer closure also yielded concrete results:

  • Savings of almost €170,000 on cleaning, reception, energy and indirect costs.
  • A CO₂ reduction comparable to 370 return flights between Amsterdam and Barcelona.
  • Greater insight and understanding among colleagues about the purpose of the summer closure and its contribution to sustainable and efficient building use.
  • New encounters between colleagues from different teams.

Insights

The summer closure works well, provided that opening hours, facilities and communication are well aligned with usage.

There were also lessons learned:

  • The opening hours of Berchmanianum could be better tailored to demand.
  • Making the best possible use of the building that is open: the average occupancy rate during the summer closure was still relatively low, at 19% in Berchmanianum and 11% in the Maria Montessori building.
  • Access to well-equipped workplaces and the completeness of workplace facilities must be guaranteed.
  • Cleaning, coffee facilities and catering must be in line with the number of people present.
  • The findability of colleagues and available workspaces is important for pleasant and efficient collaboration.

Future pilots

The summer closure showed that smarter use of buildings not only saves costs and CO₂, but also leads to new collaboration and awareness. The insights gained form a valuable basis for future pilots, such as evening and weekend closures, a summer closure in 2026, and the organisation of the closure during the upcoming Christmas holidays.

Christmas closure 2025 – where can you go?

Most buildings will be closed during the Christmas closure. Staff members who wish to work on campus are welcome to do so from Monday 22 to Wednesday 24 December in the Elinor Ostrom Building (EOS). Students can go to the University Library (UB), where the study areas and Coffee Corner will be open.

Before you come, please check the opening hours of EOS and the University Library, as they are different than usual these days.

Workplaces

Workplaces are available on the 3rd floor of EOS, near Campus & Facilities. The workplaces are equipped with one or two screens, a keyboard, a mouse and a docking station. The map below shows where you can go and where the facilities are located. 

In addition to the third floor, staff members can also use the EOS study centre, in rooms N01.044 (first floor) and N00.310 (ground floor). These rooms are suitable for working in silence.

On days when things are quieter at the office, it is especially important to remain visible and accessible to colleagues.

Working from home? Let your colleagues know via Teams or your calendar how and when you can be reached. At the office? Let people know where you are – for example, via a status update, a message in the team chat or by giving them a quick call.

This makes it easier for us to get in touch, ask a question or have a quick chat, and we know where to find each other digitally and on site, even during quiet moments.

With the pilot Opening hours in line with usage, the university wants to better align the use of buildings with actual needs. As with the summer, we will include the experiences during the Christmas closure in a subsequent evaluation.
