Terms and Conditions for RUwards Club, the Food & Beverage (Radboud University) Loyalty Programme

1. Introduction

Welcome to RUwards Club, the Food & Beverage (Radboud University) Loyalty Programme (hereinafter: the “Programme”). This Programme is designed to reward our regular customers with points, which can be redeemed for discounts at Food & Beverage (Radboud University). By registering and participating in this Programme, you agree to these terms and conditions.

2. Definitions

The following terms are used in these terms and conditions:

  • Restaurant: Food & Beverage, located at Houtlaan 4.
  • Loyalty Programme: The system through which customers earn points and redeem them for discounts.
  • Points: The virtual rewards that participants earn within the Programme.
  • Coupons: Digital or physical vouchers issued upon redeeming points and which can be used for discounts.

3. Conditions of Participation

  • Employees, contractors and immediate family members of employees of Food & Beverage (Radboud University) are excluded from participation.
  • Food & Beverage reserves the right to refuse participants without giving a reason.

4. Registration and Membership

  • Customers can register via the website or another registration process designated by Food & Beverage (Radboud University).
  • Following registration, the customer must confirm their email address via a confirmation link sent to them, thereby confirming their consent and the correct spelling of the email address.
  • Participants must provide accurate and up-to-date information and inform Food & Beverage (Radboud University) of any changes to their details.
  • Personal data is processed in accordance with the GDPR and the privacy policy of Food & Beverage (Radboud University).

5. Earning Points

  • Points are awarded based on purchases at Food & Beverage (Radboud University) and other interactions, such as welcome points. The number of points earned per euro spent may vary depending on current promotions, membership status and current loyalty scheme rules.
  • Points are credited to the account as soon as the transaction has been processed.
  • Certain purchases, such as promotional items, gift cards, alcoholic drinks and tobacco, may be excluded from earning points.

6. Redeeming Points

  • Once the number of points saved reaches a pre-set level, they are automatically converted into vouchers.
  • Vouchers can be used for discounts on future purchases.
  • Each voucher has a specific validity period, which is stated upon issue.
  • Vouchers may be subject to additional terms and conditions, such as a minimum spend.

7. Vouchers

  • Vouchers are issued digitally and linked to the participant’s account.
  • Vouchers cannot be combined with other discounts or promotions, unless otherwise stated.
  • Coupons have no cash value and cannot be exchanged for cash.

8. Programme Rules and Restrictions

  • Points and coupons are strictly personal and non-transferable.
  • Food & Beverage reserves the right to amend, suspend or terminate the Programme without prior notice.
  • Fraudulent use or manipulation of the programme will result in exclusion and the loss of all points accrued and coupons received.

9. Privacy Policy

  • Food & Beverage (Radboud University) processes personal data in accordance with the GDPR and the applicable privacy policy.
  • The data collected through the Programme is used to better serve participants and to enable personalised communications and offers.
  • Anonymous data may be used to analyse trends and usage patterns and to improve the service.

10. Data Processors

  • Personal data may be processed by third parties providing services on behalf of Food & Beverage (Radboud University), such as IT service providers and loyalty software providers.
  • These parties act solely on the instructions of Food & Beverage (Radboud University) and in accordance with the Dutch GDPR.
  • Food & Beverage (Radboud University) has entered into data processing agreements with all third parties that have access to personal data.

11. Participants’ Obligations

  • Participants must comply with the Programme’s terms and conditions.
  • Any changes to contact details or other relevant information must be notified in good time via the personal Member Portal.

12. Termination of Membership

  • Participants may terminate their membership at any time via the Member Portal or by contacting supportfb-cf [at] ru.nl (supportfb-cf[at]ru[dot]nl).
  • The Restaurant reserves the right to terminate accounts in the event of a breach of the terms and conditions or in cases of suspected fraud.

13. Changes to or Termination of the Programme

  • Food & Beverage (Radboud University) reserves the right to amend, suspend or terminate the Programme at any time.
  • In the event of termination, participants will retain their valid coupons until the end of their validity period.
  • No new points will be awarded after the termination date. All unredeemed points that have not yet been converted into coupons will lapse without compensation.

14. Liability

  • Participants are responsible for safeguarding their login details and preventing unauthorised use.
  • Food & Beverage (Radboud University) shall not be liable for technical faults or unauthorised use of accounts, points and vouchers.
  • The maximum liability of Food & Beverage (Radboud University) is limited to the value of any unused points in the participant’s account.

15. Governing Law and Dispute Resolution

  • These terms and conditions are governed by Dutch law.
  • Any disputes shall be submitted to the competent court in Arnhem.
