Adding compulsory courses
In order to add a compulsory course of the Graduate School to your portfolio correctly, go to "Research Phase" and then “Required Courses”. Navigate to "Add to portfolio", add the date you followed the course and click on save.
In the case you followed an alternative course as equivalent for the obligatory Graduate School Course, you can adjust the name and hours in the specification screen such that it matches your course and still be ticked off as obligatory course. Please note that for alternative courses proof of successful completion is required, or correspondence with the Graduate School Coordinator. Please see the example for the Radboudumc Integrity course below:
- Behind ‘name*’ change ‘DGS – Scientific Integrity Course‘ into ‘Radboudumc Scientific Integrity Course’).
- Change the organizer into Radboudumc.
- Add start date, finishing date and under ‘Rating’ the amount of hours.
- Upload proof of attendance document.
Adding other courses, seminars, conferences, teaching and other training
Click on “Open the complete list with portfolio items” on your Hora Finita Dashboard. This page shows an overview of all the courses you have added.
To add a new entry to your portfolio click new > search in catalog. If the course is available from the catalog the compulsory fields will be auto filled.
If the course (or other type of entry) is not available from the catalog you need to insert the information manually. Please fill in the fields as completely as possible and upload the course certificate (or other proof of completion) as attachment. In the section rating, fill out the study hours (1ECTS = 28 hours) for courses only, for other activities set the hours to 0.
Study hours / ECTS for your DGS certificate
Study hours are assigned to courses only. Conferences/seminars are part of the 12 ECTS/336 study hours part of the Graduate School certificate and therefore you need to set the hours to zero. Teaching activities are not accredited for the DGS certificate, so please set those hours to zero as well. Teaching and supervision are much valued, but the Graduate School certificate is reserved for training activities you follow yourself, with proof of successful completion. If you list the activities with zero hours, then they will be listed on your certificate in a separate section.
It is important to always upload proof of attendance documents, such as certificates or confirmation emails. If the number of study hours are unknown please fill out the request form below for ECTS for the 18 ECTS/504 hours part of the GS Certificate and send it to the DGCN coordinator for evaluation. This is also necessary if you wish to include summer schools or e-courses to the 504 study hours part of the DGS Certificate.
Approval of training activities
Your training activities are might not be approved directly after adding it to your portfolio. The DGS management assistant goes through the training activities periodically, but it might take some time. However, in case you would like us to check it, or in case you are not sure how many hours are still open towards the GS certificate, then please contact the administration of the Graduate School (dgcn [at] donders.ru.nl (dgcn[at]donders[dot]ru[dot]nl)). In addition, if you are at the end of the PhD you can ask for a portfolio check through Hora Finita as well.
Checklist in preparation to submitting your portfolio for review
Prior to requesting a portfolio review please check the following:
- All courses are supported by proof of successful completion.
- Course entries are supported by documentation stating the workload in hours or ECTS.
- If the workload is not specified, upload a request form below with approval from the DGCN coordinator.
- Listings that are not categorized as course are assigned 0 study hours.
When your portfolio is complete you request a review through Hora Finita.
Note that if you haven’t obtained the required 18 ECTS/504 hours part of the DGS Certificate, this has no effect on finalizing your PhD.
