Next steps for the SURF Nextcloud pilot

Planning and Next Steps

The SURF Nextcloud pilot ('SURF Works') launched in early April, granting access in phases to employees who have registered.

Registration

Registration is now closed. Many individuals and groups have signed up to participate in this pilot. SURF had made a limited number of licenses available. Due to the large number of registrations (around 350 users), it was decided to increase the number of licenses. Despite this increase, it is likely still not possible to grant everyone access to the Nextcloud environment.

PHASE 1 – Launching in April

In this phase, only participants who have registered individually and do not require team features will be admitted. They can immediately use file sharing, document editing, and individual chat and video meetings.

The team features (such as team folders and team chat) are not yet stable enough and are currently being tested by SURF. These are expected to become available in mid-May and are currently in a testing phase at SURF.

Group Registrations

  • Due to the limited number of available licenses, it has been decided to grant access to groups of up to 10 people;
  • Groups have been notified and are being asked to provide the names of all group members in order to grant access;
  • Group functionality is currently limited because team functionality is not yet working; therefore, it has been decided not to allow groups in Phase 1.

 

Individual participants who wish to test team functionality

Some individual registrants have indicated that they also wish to test the team functionality. These participants will not be admitted until Phase 2.

PHASE 2 – Starting in mid-May

Starting in mid-May, the following will be admitted:

  • Teams/groups that wish to test team functionality;
  • Individuals who rely on group functionality.

Selection

Among the many applications, there were also many groups. Group applicants have since received an email asking them to provide further details about their groups. Due to the high volume of applications, a selection process is necessary. The goal of the SURF Nextcloud pilot is to reach as broad an audience as possible and to test most of Nextcloud’s features within this pilot. It is possible that not everyone can be admitted. If we are unable to grant you access, you will be notified.
