Part A; For customers that participate in the activity programme and / or make use of the facilities of the RSC

Participation

In order to be able to participate in the activity programme or to make use of the facilities of the RSC it is mandatory to have a valid admission ticket.

Minimum age

The minimum age is 16 years for participating in all activities and for using facilities at the RSC is. To participate in Moving to Music (BOM) a minimum age of 12 years is required, subject to guidance.

Students

Students at Radboud University (RU) and HAN University of Applied Sciences (HAN) who would like to make use of an annual subscription need to apply via our website. RU and HAN students who graduated less than a year ago (X+1 scheme) need to register at our front office and need to show proof of their graduation. Students from other Dutch institutions for higher professional or scientific education recognized by the ministry of OCW, and alumni from RU or HAN who graduated more than a year ago, but less than two years ago (X+2 scheme) or less than three years ago (X+3 scheme) need to register in person at our front office. Students from other Dutch institutions for higher professional or scientific education recognized by the ministry of OCW, need to submit proof of registration. Graduates who wish to make use of the X+2 or X+3 schemes need to submit proof of graduation.
Students that would like to subscribe for a monthly subscription have to register in person at our front office.

If a check afterwards shows that the customer does not meet the conditions of the student subscription, the RSC reserves the right to terminate the relevant subscription unilaterally.

Membership and cancellation

A yearly subscription is valid from 1 September to 31 August and cannot be reimbursed nor cancelled prematurely during that period.
A monthly subscription requires a new member to register for at least two full calendar months of the relevant academic year, with the option to extend the subscription with a minimum of 1 full calendar month, running until August 31st of the relevant academic year at the latest.

Hereafter, members can cancel their subscription in person at our front office or via the form on our website on any day of the month, up to the last day of the current month. The subscription ends on the last day of that month. As the RSC collects on a monthly basis at the end of each month, the collection of the current month will take place after cancellation. Cancellations and other changes via the form on our website can be considered final only after the customer has received a confirmation by e-mail from the RSC.

Former customers who re-register within 6 months after the end of their previous membership have to register for at least one full calendar month. Former customers who re-register after more than 6 months since the end of their previous membership will be regarded as new customers.

The selection of activities and facilities offered may (temporarily) be subject to restrictions due to guidelines from the government or Radboud University (such as any corona measures). These restrictions do not lead to the possibility of early termination of a subscription, nor to (partial) refund of already paid subscription fees or compensation otherwise.

Staff and private individuals

Staff and private individuals can register in person at our front office for a monthly Fit Card membership (unlimited participation in the available activities and use of available facilities on 5 days of choice per month) or a monthly Top Fit Card membership (unlimited participation in available activities and use of available facilities).

The discount rates of the company sports programme subscriptions are only available for employees and pensionaries of the RU and for salaried employees and pensionaries of the Radboudumc (RUMC). Pensionaries of the RU and RUMC need to come to our front office to show a copy of their letter of resignation, containing the date of resignation. In case of the RU, the pensionary needs to be registered as such at the RU and needs to be in the possession of a staff pass. In case of the RUMC the pensionary needs to hand in a passport photograph, which will be used for an RSC membership card.

Membership and cancellation

Staff and private individuals who have become members of RSC for the first time must remain members for at least two full calendar months, with the option to extend the subscription with a minimum of 1 full calendar month.

After these two initial months, members can cancel their membership in person at our front office or via the form on our website on any day of the month up to the last day of the current month. The membership ends on the last day of that month. As the RSC collects on a monthly basis at the end of each month, the collection of the current month will take place after cancellation. Cancellations and other changes via the form on our website can be considered final only after the customer has received a confirmation by e-mail from the RSC.

Payment of membership fees

If the RSC does not receive subscription fees, which are to be collected afterwards on a monthly basis, the RSC will act in accordance with Article 12 of the general terms and conditions of NL Actief by informing the customer of the late payment and of the new payment term.

After the expiry of the new payment term, the subscription will be blocked temporarily, until the amount due and any extrajudicial costs have been paid by the customer. If the customer is still in default at the end of the month in which the new payment term expired, the RSC reserves the right to unilaterally terminate the relevant subscription to prevent further increases in subscription fees owed by the customer, without lapsing of the payment obligation.

Non-subscribers

For some sports activities it is also possible to participate without a subscription by buying a separate ticket or a non-refundable ticket strip. On our website it is indicated which activities are available for non-subscribers. Participation is only possible for non-subscription holders by making a reservation at our front office. As a non-subscription holder, sport climbing is only possible as a guest of a subscription holder and on presentation of an NKBV membership card (Dutch Climbing and Mountaineering Association) with mountaineering insurance.

The activity programme

Ticket hours

Ticket hours are separate classes that are offered throughout the year. Participation in the ticket hours is possible by reserving a ticket via the website, the app or our front office. The ticket can be printed at the entrance or at our front office. That ticket, together with the membership card, serves as an admission ticket for that specific lesson. If a customer is unable to attend the reserved lesson, one must cancel the reservation in advance via the website, app or our front office.

Student members may reserve a maximum of two ticket hours five days in advance.

Members with a company sports programme subscription and private subscription holders may reserve a maximum of three ticket hours eight days in advance.

Courses and registration

The season during which courses are offered by the RSC has been divided into five terms. A term consists of a series of lessons per course. Student subscription holders can register for one sports course from 8 days in advance via the website, the app or our front office. Members with a company sports programme subscription and private subscription holders can register for one sports course from 11 days before the start of a term.

For culture courses, the registration period for student subscription holders starts 8 days before the start of the term, for members with a company sports programme subscription and private subscription holders it starts 7 days before the start of the culture course.

All customers can register for an extra course one week after their previous registration if there is sufficient availability. This is also possible when the course has already started. For customers with a Fit Card, the courses must take place on the same day as previous registration(s) and any other reservations.

Before the start of each lesson, a customer must scan the membership card at the entrance or at our front office to confirm attendance for that specific lesson.

If a customer is unable to attend once, one must sign out of the relevant lesson. If a customer no longer wants to or is unable to participate in the course, one must unsubscribe from the course. This is possible via our website, the app or our front office.

Free Sports

Free sports are sports where a customer is not directly supervised by a teacher. To be able to participate in free sports it is required to make a reservation via the website, the app or our front office. The ticket can be printed at the entrance or at our front office. This ticket, together with the member pass, serves as an admission ticket for that specific free sports session. If a customer is unable to participate at the reserved time, one must cancel the reservation in advance via the website, the app or our front office.

By default, subscription holders can make one reservation per free sport 8 days in advance. There are some exceptions to this for the free sports mentioned below.

Fitness training

To make use of the gym, a customer is required to make a reservation. A fitness reservation specifies a time period within which a customer can enter the gym to begin one's workout. After entering the gym, a customer is free to decide how long to work out, of course limited by the opening hours of the RSC. Student subscription holders can make 2 fitness reservations at the same time, members with a company sports programme subscription and private subscription holders can make 3 fitness reservations at the same time. The gate in front of the gym entrance can be opened by scanning the membership card provided that the customer has a valid reservation.

Coats and bags are not allowed in the gym, they can be stored in the designated lockers. A customer is requested to clean the devices after use. Used loose materials must be put back in the designated places.

Tennis, squash and swimming laps

Subscription holders can reserve a tennis or squash court online up to 48 hours in advance, with a maximum of one court a day per group playing together. Reservations for non-subscription holders can only be made by telephone on the day itself via our front office. The maximum playing time for tennis is 60 minutes, for squash it is 45 minutes. Before a customer begins to play, one must hand in the printed ticket as proof of reservation at our front office. In addition, the membership card of the person who has reserved will be kept by our front office until the other player has reported. If this has not happened within five minutes after the start of the playing time, the reservation will lapse and the court will be made available for other customers. Rackets can be rented; squash and tennis balls are for sale only.

Reservations for swimming can also be made up to 48 hours in advance. Non-subscription holders cannot participate. The swimming time per reservation is half an hour, but two consecutive reservations may be made. So, it is possible to swim for a maximum of one hour. In the Erica Terpstra Sportfondsenbad, a ticket must be printed by scanning the membership card, which will serve as admission ticket to the swimming pool. The printed ticket will allow the customer to open the gate to the swimming pool.

Reservation of free accommodation

Subscription holders can book a sports room or sports field up to 48 hours in advance via the website, the app or our front office. If a customer wishes to make a reservation up to a maximum of 8 days in advance, this can be done via the appropriate form on the website or via our front office. Reservations can be made for a maximum of 60 minutes and only one reservation can be made at a time. In order to book free accommodation, at least half of the number of participants must have an RSC subscription.

Before the free accommodation is taken into use, every subscription holder must identify oneself through one's membership card. Non-subscription holders must identify themselves at our front office and must purchase a separate ticket for the relevant activity. If keys or other materials are handed over to the person who makes the reservation, one’s membership card will be kept by our front office and can be picked up again after the training.

The table tennis tables do not need to be reserved but can be used by subscription holders upon availability.

At least two people must participate when climbing, all in possession of a climbing seal and mountaineering insurance. Non-subscription holders must show an NKBV member pass (Dutch Climbing and Mountaineering Association) with mountaineering insurance. In sport climbing, a maximum of one half day (four hours) can be climbed.

No-show policy

If a customer does not want to or cannot participate in an activity for which a registration has been made or for which a reservation has been made, the customer must indicate this in advance via the website, the app or our front office. On our website, it is indicated with the specific activity offer until how long in advance it is possible for a customer to cancel.

If a customer does not show up for a reserved ticket hour or for a reservation for free sports or accommodation without canceling in advance, one will receive a warning. If a customer does not show up for a reservation a second time within 28 days without canceling in advance, the possibility to make a reservation will be blocked for 28 days. This block can be lifted by paying €2.00 at our front office. The collected fines will be intended for charity. When the fine has been paid or the 28 days period has expired, the previous procedure starts again.

If a customer is registered for a course but is absent for two consecutive lessons without deregistering in advance, the customer's registration for that particular course will be removed.

Outdoor lighting

If at least four participants are playing sports on the hockey field, football field, rugby field, beach volleyball courts or the running track, the outdoor lights may be switched on.

Borrowing or renting materials

Customers can borrow small sports equipment for use at the RSC. A deposit of €10.00 applies. Materials can also be rented for use elsewhere. For information about materials, prices and reservations, customers can contact the front office or secretarial office.

Damage to rented rackets

Customers who rented squash, badminton or tennis rackets that are returned completely broken, need to pay €25.00 at our front office. If that is not possible, they will receive an invoice including administration costs. The employee at the front office will assess the damage.

Clothing and footwear

It is mandatory to wear appropriate sportswear and shoes during indoor and outdoor sports activities. Flip flops are not allowed. Shoes with non-marking soles are mandatory for all indoor activities. Customers are requested to bring along indoor shoes and to put them on inside the RSC building. Shoes with studs are not permitted inside the RSC building nor on the artificial grass pitches. In the Body & Mind lessons and for specific strength exercises in the gym it is allowed to take off one's shoes if this contributes to the execution of the exercise. Clean socks are a requirement. High heels should not be worn unprotected on the wooden floors.

Use of towels

The use of towels is mandatory for all fitness activities and for all activities during which mats are used.

Jackets and bags

It is not allowed to bring coats and bags inside the gym and spinning room. For the sports halls and other rooms, customers are kindly requested to store their coats and bags in the available lockers if there is no pressing reason not to do so. If customers still believe it is needed to take these items with them, customers need to ensure that their items remain on the side of the room to avoid any inconvenience.

Mobile phones

It is not permitted to make phone calls in the sports or culture classes or in the gym, except by those for whom it is essential that they can be reached at all times (e.g. people who are on call). If such customers are called, they should continue their telephone conversation outside the class room or gym.

Cancelled lessons

Lessons might be cancelled when absent teachers cannot be replaced. Besides, outdoor activities may be cancelled due to adverse weather conditions. Furthermore, the number of activities offered on public holidays and during holiday periods are limited. If a class is cancelled, customers who registered for the cancelled class will receive a message.

Abuse and nuisance

Membership of the RSC is strictly personal. The RSC reserves the right to impose a sanction in the case of improper use by blocking the subscription for a maximum of three months. The subscription will then be reactivated after payment of an administrative charge of €25.00. The RSC also reserves the right to block a subscription in case of nuisance or improper behavior. If someone is not a member and makes use of the activities or facilities of the RSC without a valid admission ticket, personal data will be recorded. If necessary, the security service will be involved. In the case of repeated violation an entry ban may be imposed.

Change of personal details

The subscription holder is responsible for updating one's personal details in a timely manner, in particular if this may affect the conditions of the current subscription. Updates can be submitted via the change form on our website or via the front office.

Part B; For all customers and visitors

Opening hours

The RSC is open from Monday to Friday 07.00-23.30 hrs. and on Saturdays and Sundays 08.00-21.00 hrs. During the holidays and public holidays different opening hours may apply.

Liability

RSC is not responsible and/or liable for personal accidents, injuries sustained, or any other type of physical harm and the damage incurred as a consequence thereof, unless this is the result of a shortcoming attributable to the RSC in the fulfillment of its obligations, insofar as this is for the account and risk of the RSC. The RSC is not liable for theft, loss or damage to goods belonging to customers or visitors, unless the RSC has acted unlawfully. Customers and visitors are liable for any damage or destruction caused by them. If a customer is not yet insured against the risks associated with participating in sports and cultural activities, the customer must still take care of this.

Refreshments and glassware

Refreshments can be obtained in sports café The Yard and from the candy and drinks vending machines. Glassware may only be used in sports café The Yard. It is not allowed to bring alcohol and glassware in the halls, on the stands and on and around the fields.

Photos and PR

Visitors and participants are not allowed to take photos or videos that violate the privacy of other visitors, participants or staff. For internal and external PR purposes, the RSC regularly has photos taken on its premises. These photos will not be taken without prior notice. Should one not wish to be photographed, one should advise the photographer and this will be taken into account.

Lost and found

Lost and found objects are kept in boxes near our front office. Customers who have lost something can look in these boxes to see whether their lost property is among these lost and found objects. Small valuables that have been lost and found will be kept at the rear of our front office for a week.

Pets

It is not permitted to bring pets along to the accommodation (including the pitches), assistance dogs excepted.

Feedback procedure

If customers have any complaints, suggestions, compliments or any other comments, these can be shared with the RSC via a feedback form on our website. The feedback that is received will be processed as soon as possible.

Lockers

Customers can use the lockers for free (€1.00 coin deposit or by scanning an RSC membership card / campus card / HANCard) to store their valuables. If a customer loses the key, one will be charged €20.00. A locker may only be used during the time the user is actually at the RSC. The lockers can be opened by RSC staff at closing time on a daily basis. The deposit will not be returned to people who have not collected their stored goods before closing time. The goods should be collected by the owner of the goods at our front office within one week from the date on which the locker was opened by our front office.

Emergency exits

It is not permitted to place materials, bags or other items in front of the emergency exits. An emergency exit is only intended for escaping in case of calamities and may not be used for regular use.

Parking

Fees apply for parking on the university premises, except after 18.00 hrs. and on weekends.

Smoking

Smoking is prohibited throughout the building and grounds of the RSC, including sports café The Yard and its terrace.
