Drupal intranet

A modern, safe and accessible platform for internal goupcommunication

The current intranet platform, RadboudNet (Iprox), is outdated and being phased out. This creates a risk of fragmented information, loss of central oversight, and the emergence of undesirable 'shadow IT' (situations where employees resort to alternative, often unmanaged solutions). 

At the same time there is a growing need for a modern, secure, and accessible intranet solution for specific, larger, closed groups within the university. These include faculties, institutes, divisions, and thematic groups such as HR, privacy, and research projects. 

The intranet tooling is being developed using Drupal, the content management system also used for ru.nl. This allows us to build on existing knowledge, technology, and processes. The project aligns with the university’s broader strategy to make communication more user-focused, secure, and future-proof. 

What does the new intranet offer?

The new intranet will offer:

  • Group pages, accessible only to authorized members of that group;
  • Secure access using your Radboud-account or via SURFconext.
  • Relevant and accessible information for your group or department
  • News, response options and an event calendar, tailored to your group or department;

The intranet is specifically designed for larger, closed groups within the university, such as faculties, institutes, thematic groups like HR, privacy and security, and project teams like NOLAI.

Marketing & Communication (M&C) will take ownership of the new intranet service and they will be responsible for functional management. Information & Library Services (ILS) will handle (further) development and application support. The solution is scalable and expandable, making it ready to onboard future groups. 

Planning

The project will be carried out in three main phases: design, development, and implementation:

  • Design Phase (June – September 2025) 
    In this phase, the functional and technical design will be developed. This includes wireframes, user permissions, navigation structure, and integrations with PBS and SURFconext. A communication plan will also be created for the intranet’s launch.
  • Development Phase (September 2025 – March 2026) 
    The core functionality of the intranet will be built in Drupal and tested. Content from three ‘early birds’ (pilot groups) will be migrated from RadboudNet. Extensive testing will take place, including user acceptance testing.
  • Implementation and Go-Live (April 2026) 
    The intranet will be launched for the first user groups. Training will be provided for communication staff and site owners. After a successful launch, the service will be handed over to the M&C and ILS management teams. Although no definitive date has yet been set for when Iprox will be discontinued, it is important that the information in Iprox is transferred elsewhere and cleaned up.
