To book a business trip abroad, it is compulsory to submit a travel application, even if you have already received permission from your manager. If your travel request is approved, you will receive a final travel request number (starts with a 'T'). You can book a trip, with this travel request number, via the booking programme or VCK Travel can arrange this for you. Due to this change in the travel application system, it is no longer possible to request prepayment as the costs for travel, accommodation and any registration fees will now be invoiced directly to Radboud University. Other costs, such as local transport or meals not booked via VCK Travel, can be claimed directly or after your return via BASS (expense claim with proof of payment).
If you submitted a travel request before 27 February 2024, the application will still be processed in the old way. On 27 February, you use VCK Travel for bookings.
VCK Travel on campus
Do you have any questions, or have you become curious about VCK Travel? On Tuesday 27 February and Wednesday 28 February, VCK Travel will be present from 10:00 to 17:00 in the Berchmanianum work café for all your questions. There is also an opportunity to attend an (online) training of the booking system.
Sustainable travel
When adopting the business air travel policy in 2020, it was decided to centrally organise the booking of international business travel through a travel agent to achieve Radboud University's sustainability goals, reduce the administrative burden of employees and centrally organise the duty of care. VCK Travel provides insight into the amount of CO2 emissions produced by travel, and how this will be compensated.
An important measure for foreign travel from Radboud University's Business Air Travel Policy, is the 7-hour travel scheme from Nijmegen. This means no more flying to destinations that can be reached within seven hours from Nijmegen with sustainable alternatives.
