Get ready for summer!

Throughout the year, all kinds of data are collected, whether you are a researcher, recruiter, consultant or secretary. Gathering information is relatively easy. Unfortunately, the same cannot be said for tidying it up, which takes time and effort. This is why (the run-up to) summer is a good time to do some (digital) cleaning. This means you don't have to bother tidying up first after your holiday.

Save it once!
An important question to ask yourself is whether a document needs to be saved. If so, does it need to be saved in multiple places? Is it necessary to save data in Teams, your email or in print? Why save a copy if the original is already stored in BASS, Corsa, with the exam committee or the secretariat?

How long can you retain personal data?

There are legal guidelines on this. Ask yourself the following questions to determine the retention period for your data:

  • Is the exact retention period for this data specified anywhere?

--> If so, this is your retention period.

  • Can you determine the retention period yourself based on the following questions?
    o    What is the purpose?
    o    How long is the data needed for?
    o    Can it be shorter?

--> If you cannot justify why and how long it needs to be kept, the retention period is two years in accordance with the policy.

Advantages of cleaning up/tidying up

  • You have an overview again.
  • Less information means a smaller risk of a data breach.
  • There is no violation of retention periods.
  • It is better for the environment as servers are less burdened with data. Less storage capacity is required, which means less energy is consumed.
  • Your device will respond faster.

Tips

  • Follow the fastclass “cleaning up your mailbox” on 11 June , 13 June, 24 July or on 20 August or 21 August;
  • Empty the “deleted items” folder in your mailbox;
  • Empty the “downloads” folder;
  • Don't just tidy up digital data, but also printed versions from your cupboard/desk drawer. Make sure you put sensitive information in the correct (locked) paper recycling bin.
