Less sensitive data lying around

Recently, business security officers and (local) privacy officers have been conducting clean desk checks at various locations on campus. You may have noticed this because you saw an “oops” card lying around.

Many of the buildings and rooms on campus are open-plan. Anyone can walk in. Therefore, it is important to tidy up your workspace, even if you are only leaving for a short time. This prevents unauthorised people from sending emails in your name or taking documents containing sensitive data.

During these clean desk checks it was verified if offices, cupboards, and equipment were properly locked, and that confidential information had been tidied away. Besides that the officers checked how easy it would be to follow someone into a room that requires a pass to enter.

Clear improvement, vigilance remains necessary

A number of business security/privacy officers have noticed improvements compared to previous rounds. More offices and cabinets are now locked, and less confidential information has been found. 

Please ensure that you always dispose of confidential documents in the locked silver containers. It has been found that the blue waste paper bins sometimes contain documents with personal data and confidential information. 

Also, please ensure that you do not allow unknown persons to follow you when entering a room that requires a pass to access. On a few occasions, the inspectors gained access to restricted areas in this way. However, colleagues are vigilant and immediately ask 'Can I help you?' or 'Do you have an appointment?' when they see someone they don't recognise.
