New digital approach for annual review from 11 November

From 11 November, as a supervisor you will use the digital annual review form in BASS. This means that all annual reviews will now be recorded digitally.

What will change?

  • Every employee will have at least one annual review per 12 months, focusing on topics such as well-being, performance and development.
  • The standard annual review form will only be available digitally and will be completed by both you and the employee via BASS. From 11 November, you can find the form under the ‘annual review’ section on the BASS home screen.
  • After the annual review, the report will be automatically saved in BASS and in the employee's personnel file, once it has been approved. This will make it easy for both of you to access the reports afterwards.

There will be a transition phase: reviews already scheduled before 11 November can still take place according to the current procedure. 

From 4 November, you will find a knowledge clip at the website explaining the new procedure and the digital form.

What does this mean for you as a supervisor?

  1. Are you planning an annual review after 11 November? If so, use the digital form in BASS.
  2. Inform your employees about this change.

    - On Monday 10 November, employees will receive information via the weekly newsletter about this change and what is expected of them.

    - It would be helpful if you could draw their attention to this again afterwards, for example via Teams, by email or in a meeting. You can use the sample text at the end of this message for this purpose.

  3. Prepare well for the new way of conducting annual reviews with the available tools (see below).

Various tools are available to support you with the new working method:

  • A knowledge clip
    With an explanation of the annual review process and the digital form. Available from 4 November on the website.
     
  • Conversation guide annual review for supervisors
    conversation guide with an explanation of what is expected of you before, during and after the annual review and useful reflection questions you can ask the employee during your conversation. 

In addition to the practical tools above, you will find more tools and tips on gROW to help you prepare for and conduct your annual review even more effectively. For example, follow an e-learning course on how to give and receive constructive feedback or how to conduct a good conversation. 

Why this change?

Over the past few months, the Prevent Care Cure project has been working on an accessible and clear approach to annual reviews. This change has been developed in collaboration with colleagues from across the organisation and has been well received so far. With this new approach, the Radboud University is investing in good, open dialogue between employees and supervisors.

The new working method ensures greater uniformity, reduces your administrative burden, makes it easier to find reports and offers better support when conducting interviews. This contributes to a valuable discussion about the well-being, performance and development of our employees.
