As a researcher, you may have heard of RIS or METIS. This current research information system (CRIS) registers all publications, published datasets and research projects. It is used for yearly reports about the university’s research input, output and impact. This system however, was due to be updated and replaced. In line with European regulations, a tender had to be issued to which interested parties could sign-up. This process consisted of drafting long lists of criteria followed by assessments, technical and functional demonstrations and a user test. At the end of the process, one company was selected that scored highest on all evaluation critera.
Open letter recommending a FAIR, open and sustainable system
The RYA Open Science workgroup seized this opportunity to advocate for choosing a system that aligns with current standards and policies for FAIR (Findable, Accessible,
Interoperable and Reusable) data, open science and responsible research assessment. We therefore wrote an open letter to the Executive Board, stating our recommendations for a FAIR and open source CRIS. In response to this letter, we were invited to join the steering committee supervising the tender process, and several workgroups drafting criteria and evaluating suppliers.
After a long process that took more than a year, a supplier for a new CRIS has been chosen. This decision was primarily based on established procedures and university requirements. Unfortunately, not all of the specified criteria have been met. Nevertheless, considering the constraints of the decision-making process, we are pleased with the supplier selected.
Implementation of a new research information system
The next step is that of implementation. We are curious what the next CRIS will entail exactly. We will therefore stay involved in the implementation process, providing (unsolicited) advice regarding the implementation of a sustainable system that is in line with open science and recognition and reward policies.
