Update Housing FFTR #4 - Clean up and archive instructions

We are starting preparations for the move to the Maria Montessori building and we ask all employees to help in the coming months. The months of March to May will be devoted to clearing out. You will receive packing and moving instructions at a later date.

1. Clearing out and archiving materials

We are starting to sort through the materials we have collected over the years. Because some of this material may contain sensitive information or be of particular value, it is important that the clean‑up is carried out carefully. Starting 11 March, we will therefore place additional (confidential) paper bins and waste containers so you can begin disposing of materials that do not need to move with us to the Maria Montessori Building. Caution, do not fill the bins over 50%, otherwise Asito cannot properly dispose of the bins.

A comprehensive step‑by‑step plan for cleaning up and archiving documents has been prepared. In this plan, you will find specific information relevant to your role and your tasks. Please read the document carefully and consult it whenever you are unsure how to handle certain materials. The step‑by‑step plan also includes information on document retention periods and responsible methods for storing or destroying materials.

2. Take personal belongings home

In the Maria Montessori Building, we will rent fewer square meters and use the available space more intensively. Therefore, please take home any personal (decorative) items that you do not need for your work but do wish to keep. This includes personal artwork, furniture, and plants.

3. Give valuable items a new destination

During the thirty‑two years we have worked in the Erasmus Building, we have collected many items that are of particular value and cannot simply be discarded:

Books

The Maria Montessori Building will offer less book storage space per employee. Please take home any books for which there is no longer room, donate them to the University Library, give them to students, or pass them on to a charitable organization.

Art

Do you have artworks from the Radboud University collection in your office that will not move with us? If so, please contact the Centre for Art Historical Documentation (CKD). The artwork will then be collected and returned to the depot. Each artwork has an inventory sticker and number starting with KUN or RU. If the sticker or number is missing and you are unsure whether it is an artwork, please also contact the CKD.
