Travel requests and advance payments

If you plan to travel abroad, you will need to submit a travel request 14 days before you depart, even if you have already obtained permission from your supervisor. Your costs will not be reimbursed if you have not submitted a travel request. You will need to submit a travel request for the costs that you expect to pay before the trip and during the actual trip. You will not need to include any costs in your travel request that will be directly charged to Radboud University.

You can also specify in your travel request whether you wish to receive an advance. You can get an advance for the travel and accommodation costs that you expect to incur during your trip. You will only be able to get an advance if you have submitted your travel request at least 14 days before you depart. If it turns out that the amount of the advance payment that you requested was more than was needed, you will have to pay the excess amount back afterwards. If it turns out that the amount of the advance payment that you requested was less than was needed, the rest of your costs will be reimbursed. 

Amount reimbursement

The maximum amount of the reimbursement is based on the Dutch government’s list of rates. Radboud University uses the list of rates from April for the entire year.
