Roadmap for publishing dissertation with Radboud University Press

As a Radboud University PhD student, you can have your dissertation designed and printed free of charge through Radboud University Press. These are the steps you will go through when publishing your dissertation through Radboud University Press. 

Steps

  1. 1. Initial contact

    As a Radboud University PhD student, you can have your dissertation designed and printed free of charge through Radboud University Press (subject to certain conditions). Make sure to contact us at least twelve weeks before the date of your PhD defence at dissertations.radbouduniversitypress [at] ru.nl (dissertations[dot]radbouduniversitypress[at]ru[dot]nl). Include the following information in your email: 

    • Your first and last name
    • The title of your dissertation
    • The subject of your dissertation
    • The language of your dissertation
    • An estimate of the number of pages of your dissertation
    • Whether or not your dissertation contains images
    • Your PhD defence date (if known)

    Please note: Is the date of your PhD not yet known? Even then, you can already contact us about publishing your dissertation without committing to anything. 

  2. 2. Starting up the production process

    Once your application has been received, Radboud University Press will send you an email with a Digital Object Identifier (DOI) and an International Standard Book Number (ISBN) for your dissertation. This will ensure that your dissertation is easy to find online once it has been published. Additionally, the email will contain a unique access code for our portal, where you can start the production process. Once you have submitted the prerequisite information in the portal, the designers will contact you to further discuss the details of your dissertation.

    Please note: upon receiving your DOI and ISBN, you have agreed to publish your dissertation with Radboud University Press. 

  3. 3. The process

    After you have submitted all the information in the portal, Radboud University Press will take care of the production. Radboud University Press arranges the design of both the interior and the cover of your dissertation. 

    Dissertation design

    Your dissertation will be designed in accordance with one of our pre-existing templates. The cover must include a number of fixed elements, including the logos of Radboud University, Radboud University Press, and other parties/research institutes that were involved in the writing of your dissertation. Radboud University publications must have a solid red spine and Donders Institute publications must have a three-tone red spine. For Radboudumc publications, the design of the spine is up to the PhD student themselves. You can submit an image of your own choice for the cover (but keep note of copyrights), as well as the design of the title, subtitle, and author’s name.

    Submitting your manuscript

    Submit your manuscript as a Word document (or in PDF if you did the design yourself, e.g. in LateX). Keep the following points in mind: 

    • Use Word’s preset headings. This way, the designer can easily identify the different header levels of your thesis. 
    • Submit your images as separate files to prevent the loss of image quality. Images can be provided in pdf, tiff, jpeg, eps, psd, ai, or png formats. Keep in mind: the higher the quality of the image, the better it will look on paper. Our designers recommend an image quality of at least 250 dpi.
    • Check your reference list for style inconsistencies; you may have used different reference styles across different chapters in accordance with journal preferences. It is recommended that you maintain one reference style across your entire dissertation. 
    • Before submitting the document, make sure you have consistently applied either American English or British English spelling and grammar. This may vary from chapter to chapter as a result of journal preferences. 
    • You can submit your files using a service like SURFfilesender so that all files can be sent and delivered in a single package. 

    Your own design

    It is also permitted for you to design the cover and/or the interior of your dissertation by yourself. Even then, you have to conform to certain fixed design elements: the cover must feature the logos of Radboud University, Radboud University Press, and other parties/research institutes that were involved in the writing of your dissertation. Radboud University publications must have a solid red spine and Donders Institute publications must have a three-tone red spine. For Radboudumc publications, the design of the spine is up to the PhD student themselves. The design of the interior is entirely up to you. Do keep in mind that the Radboud Dissertation Series has to adhere to set dimensions (240x170mm). 

    Please note: you can also design the interior of your dissertation using LaTeX. 

  4. 4. The digital PDF

    During the publication process, you will receive personal guidance via the portal. The end result is a digital PDF of your dissertation.

  5. 5. Publication

    Once you approve the digital PDF, the full edition is printed. You will receive up to 80 copies of your dissertation and 135 copies of your summary booklet free of charge. The summary booklet contains your summary of your dissertation, the acknowledgements, and a QR code linking to the full, digital version of your dissertation. This booklet is intended for people outside of your academic field, such as friends and family. You can select the option to print summary booklets from the portal. By opting for printing summary booklets instead of a large print run of your dissertation, you contribute to a more sustainable and environmentally responsible distribution of your work. 

    Ordering additional copies at your own expense is also possible. 

  6. 6. Discoverability and visibility

    Radboud University Press will submit your dissertation to Radboud Repository. Radboud University Press will also ensure that your publication is easy to find online through correct indexing and archiving. This makes your work accessible to other scientists and interested parties, who can download and view your publication free of charge.

    After publication, your dissertation remains available both online and offline. The print-on-demand service allows you to order paper copies on demand long after your defense at a price that covers production and postage costs.

  7. 7. Financial settlements

    Radboud University Press will take care of the financial administration surrounding the publication of your dissertation, thereby assuring that you do not have to pay any advances or  submit any claims yourself.
