Instruction for mailboxes that have not yet been migrated to M365

Normally, you would access the Exchange mail server on campus by entering your e-mail address (username) and password. This is all that is required. However, some devices or purposes may require application of an IMAP- or POP3 protocol before you can make use of your e-mail account. Simply entering your username and password will no longer suffice in that case. The protocol manages the incoming and outgoing e-mails via two servers. You will therefore need to enter the data for both the incoming and the outgoing mail server manually. You also need to alter the data for the outgoing mail server each time you switch workstations, or you can use ‘authenticated SMTP’.

Authenticated SMTP

Should you opt for authenticated SMTP, then both your incoming and outgoing e-mail will be routed via an RU server. The biggest advantage of this method is that you will not have to change your settings every time you switch workstations.

Data needed for using Authenticated SMTP for IMAP

Please note: make sure that the account settings for the outgoing and incoming mail servers are different from one another.

  • Your name: No restrictions, this name will be displayed in your webmail interface.
  • E-mail address: Your fullRU e-mail address
  • Account type: IMAP
  • Server for incoming e-mail: mail.ru.nl
  • Server for outgoing e-mail: smtp-auth.ru.nl
  • Username: your fulle-mail address, the username can only be your actual RU e-mail address, not an alias. Your S-, E- or U-number can also be used as a username. Make sure you add RU| before your number, for instance ru\u123456.
  • Password: ********

In the settings that follow, tick the box for required verification for outgoing e-mail (SMTP). Then continue with the following settings:

  • Username: your S-, E- or U-number (please note: do not add ru| as you would for incoming e-mail)
  • Password: ********
  • The final step is to enter the port numbers for the incoming and outgoing e-mail servers: - Incoming server (IMAP) port 993 – encrypted connection SSL - Outgoing server (SMTP) port 587 – encrypted connection TLS

Data needed for using Authenticated SMTP for POP3

Please note: make sure that the account settings for the outgoing and incoming mail servers are different from one another.

  • Your name: No restrictions, this name will be displayed in your webmail interface.
  • E-mail address: Your fullRU e-mail address
  • Account type: POP3
  • Server for incoming e-mail: mail.ru.nl
  • Server for outgoing e-mail: smtp-auth.ru.nl
  • Username: your fulle-mail address
  • Password: ********
  • The username can only be your actual RU e-mail address, not an alias. Your S-, E- or U-number can also be used as a username. Make sure you add RU|: ru\u123456.

In the settings that follow, tick the box for required verification for outgoing e-mail (SMTP). Then continue with the following settings:

  • Username: your S-, E- or U-number (please note: do not add ru| as you would for incoming e-mail)
  • Password: ********

Normally you connect to the Exchange mail servers on campus by giving your email address (login) and password and a secure login via two factor authentication (MFA). In fact, nothing more is needed.

However, some devices or mail clients may require you to use an IMAP protocol to read and send your e-mail. In that case you need more data than just your login name and password. Because the collection and sending of e-mail is done through two different servers, you need to fill in the details for both the incoming and outgoing mail server. Our authenticated SMTP server is available for this purpose.


Data you need to be able to use Authenticated SMTP for IMAP:

  • Your name: Is free to choose, this will be the name displayed with your mail.
  • E-mail address: Your full Radboud email address
  • Account type: IMAP
  • Server for incoming mail: outlook.office365.com
  • Server for outgoing mail: smtp.office365.com
  • Username: your full email address. (The username can only be your RU ID, which is the same as the primary RU email address).
  • Password: ********
  • As an additional setting, the port numbers for incoming and outgoing mail must also be specified:
    • Incoming server: outlook.office365.com - (IMAP) port 993 - encrypted connection SSL/TLS
    • Outgoing server: smtp.office365.com - (SMTP) port 587 - encrypted connection STARTTLS
  • Authentication method: After configuring and verifying the two points above, it may still be set to 'Autodetect' but should be manually set to 'OAuth2' for both.
