Individual Travel Grant (ITG)

Are you going abroad for studies, an internship, or research and do you not qualify for an Erasmus+ grant or a Holland Scholarship? You may be eligible instead for an Individual Travel Grant from the Profiling Fund of Radboud University. This grant is intended as a partial compensation for the extra costs made for a stay abroad, such as travel tickets, costs for visa, rent, and vaccinations. When these extra costs don't apply, for example in the case of a virtual study exchange, you cannot apply for the grant. Furthermore, your stay abroad has to be approved by your faculty, as the scientific relevance of your stay abroad is essential.

The grant consists of an amount of €200 per month for a stay within Europe, and an amount of €300 per month for a stay outside of Europe. Your final grant allocation is calculated on the basis of the number of days of your study-related programme abroad. The maximum reimbursement is 4 months.

Which grants can you apply for?

Per study cycle, you may apply for one long-term grant. The long-term grants include: this Individual Travel Grant for study, an internship, and research abroad, a medical internship grant, and the Holland Scholarship.

In addition to that, you may also apply for a Short Stay grant once during your full study period at Radboud University. The Short Stay grant is applicable for, for example, a Summer or Winter School abroad. For more information, see this webpage.

The number of times you may apply for a conference grant is unlimited.

Requirements

There are certain requirements that you need to meet in order to be eligible for this grant:

  • You are enrolled as a (fulltime) student for a Bachelor's or Master's programme at Radboud University;
  • The duration of your stay abroad is at least 2 (consecutive) months;
  • The study, internship or research takes place outside of the Netherlands;
  • You don't receive an Erasmus+ grant, Holland Scholarship, or grant from the Radboud Honours Academy;
  • You will be awarded European Credits (ECs);
  • You have not received a Holland Scholarship or Individual Travel Grant for a long-term stay (including medical internship grant) yet in your current study cycle;
  • You will leave in more than 2 weeks time*

* A strict requirement is that your application for an Individual Travel Grant has been fully submitted, both the online application and the required documentation via e-mail to studentexchange@ru.nl, at least 2 weeks before the start of your programme abroad. If not submitted before the deadline, your application cannot be considered. If there is a special reason why you cannot meet the deadline, please contact Student Life and International Mobility via e-mail (studentexchange@ru.nl) who will discuss your situation and inform you whether an extended deadline is possible.

How to apply for an ITG?

1. Start your application for stay abroad via your Osiris account. Once this application is approved (conditionally) by your faculty International Office, you will automatically receive an e-mail with further instructions for your grant application. Grant applications open annually around mid-April for the following academic year, so you will receive the e-mail with further instructions for your grant application around mid-April. Has it already been mid-April or are you still going abroad in the current academic year? In that case, you will receive the e-mail with instructions for your grant application approximately one working day after approval of your stay abroad in Osiris.

2. In the e-mail with further explanation about the grant application, there is a link to a web form. Fill in this web form completely, and click 'submit'.

3. Once you have submitted the web form, you will receive, approximately after one working day, an e-mail from us with the Grant Agreement and the Learning Agreement (for internship and study) or the Letter of Approval (for research). Then send the following documents to studentexchange@ru.nl no later than two weeks before the start of your exchange:

  • For internship, study, and research stays: The Grant Agreement, signed by yourself. Read this document carefully! It contains the terms and conditions of the grant application.
  • For internship and study stays:The Learning Agreement (docx, 32 kB), signed by your host institution, by your faculty at Radboud University, and by yourself.
  • For research stays: A completed and signed Letter of Approval (docx, 64 kB) from your (study) supervisor from Radboud University, or from your faculty International Office, indicating the relevance of the project to your studies.

4. Once we have processed the documents, we will send you an email about your application, possibly with your provisional grant allocation. It may take around 5 working days for your documents to be processed.

Advance payment of your ITG

Along with the provisional grant allocation, you will receive an advance payment of 75% of the grant amount in your bank account within about 4 weeks. You will receive the remainder of the grant after the end of your stay abroad, once you have submitted the final documents and fulfilled all conditions. For this, see below 'Finalizing your ITG application'. If you do not meet all the conditions, you will have to repay the advance payment already made.

Change Form in case of changes during your stay abroad

In case of changes during your stay abroad, for example in the number of credits you will obtain, the subjects you are going to take abroad, or in case the duration of your study period differs by at least 3 weeks compared to the dates in your original Learning Agreement, you need to complete a so-called Change Form, sign it yourself and have it signed by your host institution and your faculty at Radboud University, and send it to studentexchange@ru.nl

Finalizing your ITG application

To finalize your grant application, you need to send the following documents within one month of the end date of your programme abroad to studentexchange@ru.nl:

After a study stay:

  • A completed and signed statement form. You will receive the statement form via e-mail a few weeks before the end of your stay.
  • Your official transcript of records, as soon as you receive it from your host institution.
  • An online student report with photos of your experience. You will receive the link to this report via e-mail a few weeks before the end of your stay.

After an internship stay:

  • A completed and signed statement form. You will receive the statement form via e-mail a few weeks before the end of your stay.
  • An online student report with photos of your experience. You will receive the link to this report via e-mail a few weeks before the end of your stay.

After a research stay:

  • A completed and signed statement form (research), to be completed by your study supervisor. You will receive the statement form via e-mail a few weeks before the end of your stay.
  • An online student report with photos of your experience. You will receive the link to this report via e-mail a few weeks before the end of your stay.

Please note that these documents must be sent to studentexchange@ru.nl within one month of the end of your programme period. If you will be travelling afterwards, it is your own responsibility that the documents are received on time. We will then process your documents, and if you meet the requirements, we will send you the final grant allocation via email and you will receive the remaining grant amount (if any) on your bank account within approximately 4 weeks.

Early termination of your stay abroad

In case you are returning home from your stay abroad prematurely due to exceptional circumstances out of your control, please send us an email (studentexchange@ru.nl).
